WhatsApp has over 500 million active users in India. It is the default communication channel for most customers across all age groups and income segments. When someone sends a business a WhatsApp message about a product, they are further along in the purchase decision than most businesses realise. They have already found you. They are already interested. They have taken an active step by reaching out.

The only thing standing between that inquiry and a completed sale is how fast and how well you respond.

A lead response management study referenced in Harvard Business Review found that businesses are 21 times more likely to qualify a lead when they respond within 5 minutes compared to responding within 30 minutes. The principle applies directly to WhatsApp. The faster you respond with a helpful, confident answer, the higher your probability of winning that sale.

Most businesses respond in hours, not minutes. Not because they do not want the sale. Because they do not have a system that makes fast, helpful responses automatic.

Understanding the inquiry lifecycle

An inquiry arrives on WhatsApp. It has a short active window. In that window, the customer is in buying mode. They may have sent the same message to multiple businesses at once. The first business that responds with a clear, confident answer usually wins the conversation and often wins the sale.

After that active window closes, which usually happens within 15 to 30 minutes, the inquiry cools down. The customer gets distracted. They move on. When you finally respond, they have to remember who you are and why they reached out. That extra mental effort causes many potential buyers to simply not bother.

Step 1: Instant reply within 5 minutes

Your goal in this message is to acknowledge the inquiry and ask a single qualifying question. One question only. An example might be: "Hi, thanks for reaching out. Are you looking at this for yourself or as a gift?" You are now in an active conversation before a competitor has even opened the message.

The greeting message feature inside WhatsApp Business automates this for every new inquiry, 24 hours a day. Even if you are asleep, a customer who messages at 2am gets an immediate response that keeps them engaged.

Step 2: Qualify one question at a time

Use this step to understand what the customer actually needs, their approximate budget, and their timeline for buying. The critical rule is one question per message. Multiple questions in a single message get half-answered or ignored entirely. People on WhatsApp are usually on mobile, often doing something else. Short, focused messages respect their attention.

Step 3: Answer confidently and recommend

Give the price directly. Customers asking on WhatsApp want specific answers, not "it depends" responses. Recommend the best fit option and give one clear reason why it fits their situation. Add a product photo, a short video, or a link to your product catalog.

Confidence in your recommendation is itself a sales signal. A salesperson who hedges and qualifies creates doubt. A salesperson who says "based on what you've told me, this is the one I would recommend, and here is why" creates trust.

Step 4: Make the next step easy and specific

Every message you send should end with a clear, easy next step for the customer. Not an open-ended question and not a wall of information. A simple choice or a simple action. "Want me to reserve one for you?" or "Should I send you the payment link?" are both effective.

When the next step is specific and easy, customers take it. When the next step is unclear, customers delay. Delay is where most sales are lost on WhatsApp.

Step 5: Follow up if they go quiet

Silence on WhatsApp is rarely a definitive no. Most people who go quiet after an inquiry were simply distracted. They got a call, their child needed attention, they had a meeting. The follow-up is where a significant percentage of sales that seemed lost are actually recovered.

The follow-up ladder

Each follow-up message should add value or remove a specific doubt. Avoid any message that is simply "just checking in" with no substance. Those messages feel like pressure and cause customers to disconnect entirely.

One hour after silence

A simple, low-pressure check-in. "Happy to answer any questions on this." This catches customers who were distracted at the moment of your previous message and are now back on their phone.

24 hours after silence

Send something that removes a common doubt they may not have expressed. This could be a customer review relevant to their situation, a demonstration video, or an answer to a question that commonly holds people back from buying. You are solving the objection they had but did not say out loud.

Three days after silence

Social proof from a real customer. A photo, a review, a result. People trust other buyers more than they trust the brand. A genuine customer story sent at this point often revives conversations that seemed completely dead.

Seven days after silence

An honest, respectful close. "Happy to help if the timing works. Just let me know either way." This message clears your pipeline of leads that are genuinely not ready while often reviving leads who needed a gentle prompt to make a decision.
