The right way to think about AI in a marketing workflow
AI tools do not replace judgment. They remove the blank page and the repetitive middle work so the time that remains goes into decisions, strategy, and creative direction. That is where the leverage sits for any serious marketer.
The most common mistake when building an AI stack is using one tool for everything. Generalist tools like ChatGPT and Claude do most things at a 70 percent quality level. Specific tools built for specific jobs regularly hit 90 to 95 percent quality on their target task. A stack is built by assigning the right tool to the right job, not by using one tool for all jobs.
The second most common mistake is publishing AI output without verification. AI tools can generate statistics, quotes, and source citations with complete confidence that turn out to be fabricated or inaccurate. Any number, any claim, or any piece of information that will be shared with a client or published publicly must be verified against a primary source before use.
With those principles in place, the time savings are substantial and real.
The four tasks that consume most marketing hours
Competitor research is typically the most time-intensive task in a performance marketer's week. Understanding what competitors are running, what offers they are promoting, what angles they are testing, and how their messaging has changed over time requires significant data gathering and synthesis.
Creative briefing is the second major time consumer. Writing a creative brief that gives a video editor, graphic designer, or copywriter the exact context they need to produce something worth testing takes skill and time. Briefing rounds and revisions add more.
Weekly reporting takes the data from the ad platforms, synthesises what it means, identifies the patterns and anomalies, and translates those into language and recommendations that a client or business owner can understand and act on.
Email drafts, follow-ups, outreach messages, and client communications collectively consume a disproportionate amount of time relative to their complexity. They require professional tone, personalisation, and clarity, all of which AI handles well with the right prompting.

Perplexity is a search-based AI tool that cites sources for every claim it makes. This makes it appropriate for market research, competitor positioning research, and industry trend analysis in a way that ChatGPT and Claude are not, because with those tools you receive answers with no way to verify where the information came from.
Use Perplexity to answer specific, bounded research questions. "What are the main acquisition channels for D2C health brands in India in 2026" is the kind of query it handles well. Always click through to verify the primary sources before using the information in client-facing work.
Thinking and drafting: ChatGPT and Claude
These are the core workhorses for drafting, rewriting, and generating creative options. The quality of output is directly proportional to the quality of context you provide. "Write a Facebook ad" produces generic, unusable output. A prompt that specifies the brand, the audience, the offer, and the tone produces genuinely useful starting points.
Save your best prompts as reusable templates. A well-constructed prompt template used consistently is worth far more than generating a new prompt from scratch every time.
Digesting documents: NotebookLM
NotebookLM is a tool from Google that allows you to upload documents, transcripts, reports, or research files and then ask questions that are answered using only the content in those files. This is particularly useful for processing long client briefs without reading every page, for summarising market research reports, and for extracting specific information from lengthy competitor analysis documents.
The key advantage over asking ChatGPT to summarise a document is that NotebookLM grounds every answer in the specific content you have uploaded, reducing the risk of fabricated or out-of-scope information.
Competitor ad analysis: Meta Ad Library combined with AI
The Meta Ad Library is a free tool that shows all active ads running on Facebook and Instagram for any business. You can search by brand name and see their current creative, copy, and offer strategy in real time.
The workflow is to pull competitor ads from the library, then paste the ad copy or describe the creative to Claude or ChatGPT and ask it to break down the hook, the angle, the offer, and what the competitor seems to be testing. This transforms what used to be a two-hour manual analysis task into a 20-minute structured insight.
Visuals and creative concepts: Canva AI and Midjourney
These tools are useful for generating visual concept mockups before briefing a designer, for creating quick static ad variations to test different visual directions, and for generating reference images that communicate the aesthetic direction for a campaign.
The output is directional, not final. It communicates intent quickly and reduces the number of revision rounds in a design brief because the designer can see exactly what you are aiming for.
Video editing: CapCut and Descript
For anyone producing short-form video content for reels or ads, these tools dramatically reduce the editing time. CapCut handles auto-captioning, speed adjustment, and template-based editing for social formats. Descript allows you to edit video by editing the transcript text, which is a significantly faster workflow than traditional timeline-based editing for talking-head content.
Meeting notes: Fireflies and Otter
These tools automatically transcribe and summarise voice calls and video meetings. A client call that previously required a dedicated note-taker or 30 minutes of post-call write-up now produces a searchable transcript and an action-item summary automatically.
Connect these to your project management or CRM system so follow-up tasks and action items from client calls are logged without manual entry.
Reporting: Looker Studio combined with AI
Looker Studio pulls live data from Meta, Google, and other ad platforms into a dashboard that updates automatically. Instead of spending time pulling numbers from multiple platforms and assembling them into a report, the data is already organised.
Use Claude or ChatGPT to draft the narrative section of the report: the "what happened this week, what it means, and what we are doing about it" section that clients actually read. Write the narrative draft in AI, verify every number against the live dashboard, then edit and personalise before sending.
Automation: Zapier and Make
These tools connect the different parts of your stack so information flows automatically between them. A new lead submitting a form on your website can automatically trigger a row in a Google Sheet, send a WhatsApp notification, and prepare a draft email reply, all without manual action.
The automation layer is what turns a collection of useful tools into a system that reduces your ongoing time investment.

Rules for using AI without creating problems
Do not implement multiple tools at once. Pick the single most time-consuming task in your current week. Add one tool from this list to address that specific task. Run it for a week. Verify every fact and number. AI generates confident-sounding inaccuracies regularly. Anything that will be shared with a client, published publicly, or used in a business decision must be verified against a primary source.
Never paste confidential client data into AI tools without checking your client agreement and the tool's data privacy policy. This is a real professional risk that many users overlook.
Give specific context with every prompt. Brand voice, audience description, offer details, competitive context, and examples of output you want to emulate all significantly improve the quality of what the AI returns.
Build reusable prompt templates. Your best-performing prompts saved as templates are the real source of efficiency in an AI-augmented workflow. A prompt template used 100 times represents far more value than 100 one-off prompts that each take time to construct.
Keep your judgment in the lead position. AI raises the floor of what you can produce. It does not raise the ceiling. The decisions about strategy, creative direction, client communication, and what actually gets published are yours.
